Soft PVC is widely used for custom keychains, fridge magnets, coasters, bar mats, luggage tags, wristbands and small three-dimensional promotional items. It is flexible, supports strong color separation and can reproduce shapes that would be difficult or expensive in metal.

For a buyer, however, “soft PVC” is not a complete specification. The final cost and appearance depend on the relief structure, number of colors, thickness, back design, attachment, mold, assembly and packaging. This guide explains the decisions that should be made before quotation and sampling.

1. How Custom Soft PVC Products Are Made

The exact route varies by product, but a typical project follows these stages.

1. Project and artwork review

We review the intended product, dimensions, quantity, target market, reference images, logo files, colors, attachments and packaging requirements. Fine lines, small text and narrow gaps are checked before production artwork is prepared.

2. Production artwork and structure

Customer artwork is converted into a production-ready drawing. This drawing defines the outline, dimensions, thickness, color areas, raised and recessed sections, hole positions, back texture and hardware location.

The drawing must be approved before tooling because a visual illustration alone may not show the physical structure clearly enough.

3. Mold or tooling preparation

Tooling is produced according to the approved structure. Mold type depends on product size, depth, expected detail and production method. A flat coaster and a fully three-dimensional character do not use the same structural solution.

4. Color matching and material preparation

PVC material is mixed to the approved colors. Pantone references are useful, but the appearance of a physical PVC color may differ slightly from a screen because of lighting, surface finish and material characteristics. A physical sample is the final approval reference.

5. Dispensing, layering and forming

Colored PVC is dispensed into the mold in the required sequence. Designs with several height levels or small separated areas require more operations than simple flat designs. The product is then heated or cured under the selected production conditions.

6. Demolding and trimming

After forming, the item is removed from the mold. Edges, excess material and visible defects are checked and trimmed. For three-dimensional pieces, the shape and balance are also reviewed.

7. Surface treatment and printing when required

Depending on the design, additional printing, coating or surface effects may be applied. These are optional processes, not automatic steps for every PVC product.

8. Attachment and assembly

Key rings, chains, magnets, clips, bottle-opener components, straps or other parts are assembled. Mixed-material items may combine a PVC body with metal hardware, magnets, printed cards or retail packaging.

9. Inspection and packing

The finished products are checked for color, shape, surface condition, assembly, attachment strength and packing quantity. Approved packaging is then used for shipment.

2. Choosing the Right PVC Structure and Process

The best option should be selected according to the intended use, not only the lowest unit price.

2D flat designs

Best for logos, text, simple graphics and cost-conscious promotional items. Color areas are separated by shallow dividing lines and the product remains relatively thin.

Layered or raised relief

Useful when the design needs clearer visual hierarchy. Selected elements can sit higher than the background, giving the product more depth without creating a fully sculpted object.

Full 3D forms

Suitable for characters, mascots and sculptural shapes that need volume on several sides. Full 3D products usually require more complex modeling, tooling and inspection than flat designs.

Printed details

Printing can reproduce details that are too fine for molded color separation. It is useful for gradients, small text or complex graphics, but the expected wear conditions should be discussed before selecting it.

Front and back construction

The back may be flat, textured, printed, molded with branding or designed to hold a magnet or attachment. Confirming the back at quotation stage prevents later structural changes.

Functional and mixed-material components

Metal rings, chains, magnets, clips and opener components affect both cost and performance. Specify the required function and expected use rather than choosing hardware only from a photograph.

3. What to Provide Before Requesting a Quote

For an accurate quotation, provide as much of the following information as possible:

• Product type and intended use
• Vector logo or high-resolution artwork
• Required dimensions and thickness
• 2D, layered relief or full 3D preference
• Front and back requirements
• Pantone references or physical color standard
• Required quantity per design
• Attachment or functional component
• Packaging format
• Destination country and required delivery date
• Intended users and applicable testing or compliance requirements
• Reference sample or image, if available

If some details are undecided, state that clearly. We can recommend a practical structure, but the quotation should identify which assumptions were used.

4. Sampling and Production Lead Time

For a standard project after the necessary information is confirmed, typical internal reference times are:

• Production artwork: approximately 1–2 days
• Mold and sample: approximately 3–7 days
• Mass production: approximately 8–12 days after sample approval

These are planning references, not guaranteed dates. Complex 3D shapes, many colors, special attachments, packaging development, revisions, testing requirements, large quantities and peak-season capacity may extend the schedule. Shipping time is additional.

The project schedule should be confirmed in the quotation after the final design, quantity and packaging are known.

5. Packaging That Helps Reduce Damage Risk

Soft PVC is less brittle than polyresin, but poor packing can still cause deformation, surface marks, scratched hardware or tangled attachments.

Packaging may include:

• Individual polybags or protective sleeves
• Cards or inserts that secure the product and attachment
• Dividers for items with metal components
• Inner boxes and export cartons sized to control movement
• Flat packing or suitable rolling methods for larger mats
• Retail boxes, display packaging or custom inserts when required

Heat, prolonged compression and unsuitable carton loading should be considered for flexible products. Packaging is selected according to product size, shape, surface, hardware and transport method. No packaging can remove all transit risk, but a suitable structure can reduce it significantly.

6. Can Soft PVC Be Ordered with Other Materials?

Yes. Soft PVC products can be developed with metal, polyresin, magnets, printed cards and other souvenir components. Different product categories may also be consolidated when production schedules, packing requirements and shipping arrangements are compatible.

Consolidation can reduce duplicate freight and handling costs, but savings depend on carton volume, weight, destination and delivery schedule. It should therefore be evaluated project by project rather than promised automatically.

7. Material Compliance and Environmental Requirements

Compliance depends on the product, intended users and destination market. Buyers should identify required standards before quotation, especially for products intended for children or markets with restricted-substance requirements.

Testing may relate to material composition, restricted substances, phthalates, heavy metals or other requirements such as REACH, EN 71, CPSIA or customer-specific protocols. These standards are not interchangeable, and not every standard applies to every product.

Existing reports only support the named sample, material and test scope. If project-specific testing is required, the test laboratory, sample, standard, cost and timing should be confirmed before production. We do not describe every product as globally certified without matching evidence.

8. Pricing, MOQ and Supply Flexibility

Two products with the same outside dimensions may have different costs because their color divisions, relief levels, assembly and packaging are different. A clear specification is therefore more useful than requesting a price from an image alone.

Repeat orders may be more efficient if the design and tooling remain unchanged and the mold is still usable. Color changes, structural revisions or new packaging may require a new review.
